Make the decision easy to understand
An additional-work request should answer four questions: What did the workshop find? Why does it matter? What work is proposed? What amount should the customer expect? Put those answers together instead of spreading them across calls and messages.
Ask for one clear response
Separate work that needs a decision from general status updates. Present approve and decline actions with the same wording used in the explanation. If several independent items are discovered, request a decision for each item rather than hiding several choices inside one total.
Add useful evidence
A focused photo can make a worn or damaged part easier to understand. Show the relevant area, avoid unrelated customer information, and add a short caption. The photo supports the explanation; it should not replace it.
Follow up without changing the request
If the customer has not answered, resend the same current request instead of creating a second version. State whether the repair is paused and whether the ETA depends on the decision. Once a response arrives, keep it with the repair timeline so the workshop team can act from the same information.
